The fine print

Financial
In order to conduct sessions, an active credit card will need to be on file with Wildwood. This is input via Simple Practice. Clients are charged the day of session, which is a Simple Practice billing procedure. Clients with over $200 in balances to Wildwood will face potential interruption in services until a payment plan is reached.
If you have an out-of-network benefit, we will provide you with a super bill so that you can seek reimbursement from your insurance provider. Payment is expected at the time of service and may be made by cash, check, or credit card. Insurances accepted are: (COMING SOON). Headway is used to verify insurance, and notes are kept in SimplePractice.
Cancellations
Clients are able to make requests to cancel/change session times 24 hours (or greater) before session without incurring a $75 cancellation fee. Within the 24 hours, the cancellation reason is limited to an emergency, or illness. If session is cancelled within 24 hours of session time, there will be a $75 late cancellation fee assigned. If client does not present to session within 15 minutes of session start time, with no efforts to communicate to Wildwood (“no show”) a $125 fee will be assigned.
Privacy
Therapists are bound by several layers of laws and ethics. If you would like to check those out, we recommend you start with the American Counseling Association as well as the American Association for Marriage and Family Therapy. Here are some of the highlights:
- Confidentiality: Therapists are generally only allowed to share information about their clients with others if the patient has given their written consent. Therapists are generally not allowed to contact anyone else without the patient’s written consent.
- HIPAA Privacy Rule: Therapists must comply with the HIPAA Privacy Rule, which requires them to implement safeguards to protect patients’ protected health information (PHI). Session materials that identify clients by name/initials are locked in the office, and when not in the office the office door is locked. Notes are kept in a password protected database.
- Exceptions: There are some exceptions to the confidentiality rule, such as when there is a danger to the patient or others, or abuse of a child or dependent adult.
- Public media: Therapists are not allowed to disclose confidential information about client in their writings, lectures, or public media unless the client’s identity is sufficiently disguised.
For more information, please review your Notice of Privacy Practices in the consent paperwork when you become a client!
